MS Outlook Calendar
The Basics
Microsoft Outlook’s calendar function can help to organize an individual or a whole office. It can be used not only to schedule meetings but to send notices of those meetings, synergizing with Outlook’s e-mail function. Best of all, there aren’t a lot of new commands to learn – if you’re proficient in Outlook’s e-mail function, you’re half-way to professional calendar use.
Starting Calendar
You can start Calendar from Outlook 2003 and Outlook 2007 using three different methods.
- Click Calendar in the lower left hand corner
- Click Go in the menu bar, then Calendar
- Press Ctrl+2
In Outlook XP or 2000:
- Click View in the menu bar.
- Click Go To.
- Click Calendar.
Once you’ve moved to Calendar, you’ll see lines resembling a legal pad. This is the day scheduler, and each line represents half an hour. Notice that, at the top, you can view your calendar by the day, a 5-day work week, a 7-day week, or a full month.
Scheduling an Appointment
- Click the line that corresponds to the time you’d like to schedule the appointment.
- Type in a short description, the kind of thing you'd use as a subject heading in an e-mail.
That's probably all you'll do for most appointments. By default, they'll have an alarm to remind you fifteen minutes prior to the appointment.
