How to Make Contacts
Your Address Book
Near the top of your Outlook window, you'll find a small open book next to a field labeled "Type a contact to find." This is the address book, and it contains the e-mail addresses of everyone in the vetmed domain who has an e-mail address.
- Click the address book icon, and make sure that the drop-down menu reads Global Address List. This is a large list containing contact information on most of the faculty and staff at the university. To change the view to show only people at the College of Veterinary Medicine, select the drop-down menu on the right and choose All VetMed.
- You can search the list using the field on the left.
- Try to find your own name, then double-click it. Names are listed last name, first name.
- Notice the information listed. Your "Display Name" is the name your e-mails will show for others. Your "Alias" is the name you use at login, and your e-mail address is your alias@vetmed.wsu.edu.
- Close the window when you're finished.
Now, let's see how this list can help you send e-mails to people on campus without needing to know their address.
- Create a new e-mail message, then click where it says To...
- This brings up that same list, but if you double-click a name now, it will add it to the To: field.
- You can also click a name, then click either the To, Cc or Bcc button to add the name to those fields.
- Click OK when you're done.
Making Vetmed Your Default Address Book
Many people at the college would prefer to see only users at the college when they search their address books. By setting the address book to start by default with the All Vetmed list rather than the Global list, you can streamline searching for users at the college.
- Click the Tools menu.
- Click Address Book. This will bring up a new window showing your Address Book.
- In this window, click the Tools menu.
- Click Options.
- Click the upper-most drop-down menu, under the header "Show this addresss list first."
- Click All VetMed.
- Click OK.
From now on, your Address Book will by default show names from the list of all Vetmed users.
Contacts
If you'd like to save information on people outside the vetmed domain, you can use Contacts to accomplish that.
- In Outlook 2003, click Contacts in the navigation pane on the left, or press Ctrl+3. In previous versions, click View in the menu bar, then Go To, then Contacts.
- Once in the Contacts view, double-click any empty area to start adding information on a contact.
- Fill in as much or as little as you like, but be sure to at least type in a name in the "Full Name" row and an e-mail address in the "Email..." row.
- Click Save and Close when you've finished.
- Now, start a new e-mail.
- Click where it says To... and you'll see a list of names.
- Make sure the drop-down menu at the right reads "Contacts".
- Now you can double-click the name you've entered in your contacts to add that person to the To: field of the e-mail.
- Click OK when you're done adding names.
